If you're doing it yourself, here’s how to reconcile step by step:
✅ Before You Start:
Make sure you have:
Your latest credit card statement
The credit card account set up in QuickBooks
All transactions entered or downloaded into QuickBooks
🔢 Step-by-Step Guide:
1. Open the Reconciliation Tool
Go to Accounting > Reconcile in QuickBooks Online
Choose your credit card account
Click “Get started” if this is your first reconciliation
2. Enter Statement Details
Plug in the statement ending balance and ending date
Hit Start reconciling
3. Match Transactions
Match each QuickBooks transaction to your credit card statement
Click the checkbox beside each one as you verify it
💡 Tip: Sorting by amount or date makes this easier
4. Investigate Any Differences
Missing transaction? Add it via + New > Expense
Duplicate? Delete or exclude it
Wrong date or amount? Click and edit it
📌 You’re aiming for a difference of $0.00
5. Finish It
Once everything’s matched and your difference is zero:
Click Finish now
QuickBooks will lock in that reconciliation for your records
📎 Bonus: Attach Your Statement
For clean records, upload a PDF of your credit card statement to the reconciliation or store it in QuickBooks attachments. Audit trail = secure.
